Forsys 1.0
In the context of training management, several tools are used at different stages of the process: course planning, participant management, educational monitoring, and skills assessment.
The Forsys module fits into this workflow by ensuring communication and data synchronization between business systems. It facilitates integration between the training management tool (FORSYS) and the skills portfolio management platform (JLIC), while ensuring the consistency of the exchanged information.
This connector automates data exchanges and reduces the need for manual intervention, thereby helping to ensure the reliability of processes and improve the overall efficiency of the information system.
1. Objective
The Forsys module aims to ensure the automatic integration of training data between two systems:
- FORSYS, a business tool fromAntibia used for managing training courses
- JLIC, used for managing competency portfolios and evaluations
This integration eliminates the need for manual re-entry and ensures data consistency between the two applications.
It also helps make business processes more reliable and improves the traceability of information.
2. How it works
The connector is based on a clear division of responsibilities between the two systems:
- FORSYS is the reference source for all data related to training organization (courses, sessions, participants)
- JLIC is responsible for educational management, including the creation of course handbooks and the management of assessments
The Forsys module acts as an automatic intermediary, synchronizing data between the two systems without manual intervention.
3. Main Workflow
The overall operation of the connector can be described according to the following cycle:
- A training course is created in FORSYS with the necessary information (type, dates, etc.)
- A training session is automatically created in JLIC
- Participants are added in FORSYS (trainees, trainers, etc.), including their assigned status
- These participants are then synchronized in JLIC, which triggers the creation of the associated handbooks
- Evaluations are completed in JLIC at the end of the training
- The results are then automatically transmitted to FORSYS
This workflow ensures complete continuity between administrative management (FORSYS) and educational management (JLIC).
4. Key Concepts
Business Entity Mappings
The connector relies on a mapping between the business objects of the two systems:
|
FORSYS |
JLIC |
|
Internship type |
Booklet template |
|
Internship |
Training session |
|
Participant |
Member |
|
Speaker |
Role |
|
Result |
Certification |
These mappings are essential for ensuring correct and consistent data synchronization.
5. Operating mode
As part of this project, the connector operates in SQL mode, based on the views provided by FORSYS (Antibia).
Specifically:
- FORSYS exposes SQL views containing training data
- The Forsys module queries these views on a regular basis (polling mechanism)
- The data is then automatically synchronized with JLIC
This operating mode enables reliable integration without requiring an API on the FORSYS side.
6. Synchronized data
6.1 Data synchronized from FORSYS to JLIC
The connector retrieves the following from FORSYS:
- courses and associated sessions
- participants (trainees, trainers, assistants, panel members)
- logistical information (dates, locations, managers, etc.)
This data is used to create and update training sessions in JLIC.
6.2 Data synchronized from JLIC to FORSYS
Conversely, JLIC transmits the following to FORSYS:
- trainees’ results, derived from evaluations conducted in JLIC
This provides FORSYS with a comprehensive overview of the progress and outcomes of the training sessions.
