Explorer Plugin 4.2

Description

Organize information and capitalize on knoweledge with a document management system that is fully integrated with the Digital Workplace.

When to use this plugin ?

Tired of duplicated documents that are in a mess on your network drives? Would you like to be able to keep track of document version history and updates? And to finally be able to work together with others on shared documents? And above all, would you like to have a better control of document visibility and of who has access to it?

Switch to an efficient and intuitive electronic document management system with the Jalios Explorer module!

What is this plugin about ?

The "Explorer" plugin is a solution for classifying and navigating your documents or publications. You can create a tree structure similarly to the file explorer on your computer.

The explorer can be:

  • Contextualized in a collaborative space: all publications will then only be accessible by members of the space. This is often useful to set up the document library of a project or a documentary space.
  • Global: just as like an EDM for dematerliazation, it is then accessible from the main menu. Rights management is often used in this case to restrict access

Key features

  • Create a hierarchical and multiple classifying plan to organize documents
  • Find documents by navigating or by searching in the explorer.
  • Unify documents in the EDM
  • Upload documents in bulk with drag/drop or with document archive decompression
  • Copy, delete or move contents
  • Upload a document, folder or selection into an archive.
  • Add a document from a template
  • Add remote documents (stored on another system)
  • Quickly visualize a document

User personalization

Users can customize their explorer with severla options :

  • Choose a display mode: cards or list
  • Filter by author, start/end date, content types, document types
  • Change sorting criteria

Advance personalization

This type of customization is only availabe for functional administrator.

  • Choose the type of content to display in the explorer and possibly with criteria
  • Choose a display template among the available templates
  • Customize navigation and refinement options
  • Customize the display options: list of available views, default view, columns,...
  • Customize sorting, pagination, ..

What our customers like about it

Fully integrated user experience

Users can perform many actions on the document without leaving the explorer:
  • Each publication or document can be displayed in a side preview panel: document viewer, action buttons (download, drop a new version, online editing).
  • Users can recommend the document, add a comment, change rights, etc. without leaving the browser.
  • Multi-selection of elements, actions on this selection or drag and drop in the explorer.
  • The breadcrumb trail gives the location in the depth of the tree structure

Ease of use and personalization capability

The Jalios explorer is not a fixed component, but a component that combines simplicity and customization.

  • Content types and display parameters can be customized. HR may have an explorer that only displays HR documents.
  • Action menu for content creation and document repository.
  • Context menu on the elements (content) with the right mouse click.
  • Documents can appear in several places in the tree structure: they are not duplicated

Ability to adapt to various use cases

The Jalios explorer allows you to organize any type of content, i.e. it is not exclusively dedicated to documents.
  • The explorer can be customized to create a media or video library
  • It can also be used to classify and organize technical documentation wiki pages
  • It can also organize a mix of several types of content at once.

  2. Create an Explorer portlet
  3. Configure your portlet with the desired settings
  4. Choose one of the "Application" templates to have access to the new templates of version 4.0

1. 4.2 patch note

JPlatform 10 SP3 Compatibility

The use of the template application requires at least version 10 SP3 of JPlatform (Ticket EXPLORER-277).

1.1 File "Unclassified"

The sidebar now offers an "Unclassified" entry that lists all the unclassified documents in the space. This allows you to move them into categories to explore it.

You can remove this feature with a property :

jcmsplugin.explorer.app.sidebar-show-uncategorized: true

1.2 Exact category

The exact category parameter is now taken into account in the "Application" template of the explorer.

Newly created portlets will be set with the "exact category" mode enabled. Old portlets will be automatically updated with the "exact category" mode enabled, if they used the "Application" template.

This automatic update can be disabled by adding the following property

jcmsplugin.explorer.app.auto-update-exact-cat: true

2.

3. Plugin properties

Default view : Choice of the default view for the default template

Application template - enable debug : enable javascript logs for application templates

Use preview area : Enable this option to display a preview area when clicking on a publication in Explorer. Disable this option to navigate directly to the full display of the publication.

4. Explorer root category

You can define one or more root categories for an explorer portlet

You can also not define a root category

  • If the portlet is refined on the current space, the root used will be the one of the workspace
  • Otherwise, we will use the root category of the site

You can also define categories, and refine them according to navigation categories by activating the option. The selected roots on the portlet will be filtered according to the current navigation categories.

5. Differences between default template / application template

The application template does not yet support all settings, and does not provide the same functionality as the default template.

Eventually, the portlet edition will be simplified, and the functionalities of the default template will be grouped in a dedicated tab.

6. User documentation

6.1 Choice of view

The user can choose map view or list view. This choice is saved for the portlet and the current space. The user will then find his choice when he accesses the portlet again.

6.2 Multi-category filter

The user can choose to add a folder to the filters. His navigation in the explorer will preserve this filter which will then be visible under the breadcrumb trail. Folder filtering implies that the publications displayed are classified in the current folder, as well as in the folders chosen as filters (Intersect Mode).

6.4 Travel between categories

The elements in the central area and those in the sidebar can be moved towards each other. It is also possible to move these elements within the breadcrumb categories.

6.5 Add menu

The add menu adapts itself according to the types defined on the Explorer Portlet queries. Only the types that the explorer displays will be proposed

In addition, the add menu also allows to do the following actions

Some of the modules are not yet available.

6.6 Context-sensitive action menu

Any item in the explorer can display a context menu by right-clicking (The action menu is available if the user cannot use the right-click). Items on which the menu can be displayed :

By default, this menu proposes actions at the folder level

mceclip0 - 2019-05-28 14h46m47s

If I select a single item, the menu adapts to propose actions on this item

mceclip1 - 2019-05-28 14h47m30s

If I select more than one item, the menu will offer me fewer actions

6.8 Keyboard shortcuts

The application template of the explorer module offers several keyboard shortcuts, similar to those available in your

  • CTRL + Clic gauche : select an item
  • CTRL + A : select all publications
  • SHIFT + Clic gauche : Select several publications

7. Creation of an Explorer application (Mobile and PC)

It is possible to create an application that will be available on the application launcher so that your users can access a specific document explorer.

This is possible from version 4.2 onwards.

mceclip0 - 2020-09-15 15h10m44s

This requires creating a new shortcut from the back office of your application.

This shortcut should use the following parameters

  • Title: specify the desired title
  • Icon: use the one provided "plugins/ExplorerPlugin/images/application-explorer.png" or an icon of your choice
  • URL: plugins/ExplorerPlugin/jsp/explorerShortcut.jsp?portletId=ID where the id is the id of an existing Explorer portlet, which will be used as a setting
  • Display in the apps menu: allows you to access this application in the launcher and in the application catalog
  • JMobile - display in the application menu: yes (If you want to see the application on Mobile)
  • JMobile - URL: plugins/ExplorerPlugin/smartphone/explorer.jsp?portletId=ID&hideBreadcrumb=true where the id is the id of an existing Explorer portlet, which will be used as a setting

8. Migration of old templates

You can switch to the new template on your site using a migration jsp provided by the module. The url to use is plugins/ExplorerPlugin/jsp/migrate/migratePortletExplorerApp.jsp

You have to be a central administrator to use it. Just check the portlets, and choose a destination display template. The available templates are

  • App with sidebar (New template)
  • App without sidebar (New template without the sidebar)
  • Box (Another template that simply displays documents in list view)

mceclip0 - 2019-05-28 15h41m50s

9. Developer documentation

You can extend and change certain behaviors of the explorer module via certain developments.

You can find these developments on la webapp de documentation, catégorie explorateur.

FAQ

#!/usr/bin/perl

$storeFilename = shift @ARGV;

open(storeFile, $storeFilename) || die "Cannot open store file '$storeFilename': $!\n";

while(<storeFile>) {
    my $line = $_;
    $line =~ s/^(<generated.PortletExplorer .* )showNavigation="true"/$1navigationState="show"/g;
#    $line =~ s/^(<generated.PortletExplorer .* )showNavigation="false"/$1navigationState="collapse"/g;
    $line =~ s/^(<generated.PortletExplorer .* )showNavigation="false"/$1navigationState="hide"/g;

    $line =~ s/^(<generated.PortletExplorer .* )showSearchOptions="true"/$1searchOptionsState="show"/g;
#    $line =~ s/^(<generated.PortletExplorer .* )showSearchOptions="false"/$1searchOptionsState="collapse"/g;
    $line =~ s/^(<generated.PortletExplorer .* )showSearchOptions="false"/$1searchOptionsState="hide"/g;
    print $line;
}

Commande pour l'appliquer sur le store (application arrêtée)

$ ./convertPortletExplorerDisplayOptions.pl store.xml > newStore.xml
